Smart Marinus Valor Solutions ("we", "us", "our") is a marine consultancy and insurance advisory firm operating from Dubai, United Arab Emirates, and serving clients across the UAE, Turkiye and the wider Gulf and Mediterranean regions.
This policy explains what personal information we collect through www.smartmarinus.com, why we collect it, who we share it with, and the rights you have over it. We are the data controller responsible for the information described here.

2. Information We Collect
2.1 Information you give us — Contact form
When you submit our contact form, we collect:
- Your name
- Your email address
- Your phone number (optional)
- The subject and content of your message
2.2 Information you give us — Request for Quotation (RFQ) form
Our quotation form collects considerably more detail, because an accurate marine insurance quotation requires it. This includes:
- Business and contact details: business name, owner's name, business address, business phone, email address
- Experience and history: years of experience, previously owned vessels, licence type, and whether you have made insurance claims in the past five years (including any explanation you provide)
- Vessel details: vessel name, market value, purchase date, requested liability limit, year and country of build, gross tonnage, builder, make and model, flag, port of registry, official/IMO number, engine type and model, fuel type, fire-extinguisher fitment, date of last survey, cruising range and trading waters, mooring location, and tender/dinghy details and value
- Charter details: maximum passengers, type of charter, average charters per year, number of certified persons, whether owner-operated, and number of crew
Only your owner's name and email address are mandatory. Every other field is optional, and you may leave out anything you would rather not share — though this may limit how accurate a quotation we can prepare.
2.3 Information collected automatically
- IP address. When you submit a form, your IP address is converted into an irreversible cryptographic hash (SHA-256) and used solely to enforce submission rate limits that protect the site from spam and abuse. These counters expire after ten minutes.
- Error logs. If a submission fails a security check, your IP address may be recorded in plain text in a server-side error log so we can diagnose faults and abuse.
- Timing and origin data. We record when a form page was loaded, and read the Referer/Origin header your browser sends, to distinguish genuine submissions from automated ones.
- Standard server logs. Our hosting provider records requests to the site, which may include IP address, browser type and the pages requested.
3. Cookies and Similar Technologies
We do not set any cookies of our own. Our forms do not use cookies, and we do not operate any advertising or analytics tracking.
However, our hosting provider (GoDaddy) automatically injects a performance-monitoring script into pages served from its platform. This script sets the following cookies without our involvement:

Where data protection law requires us to identify a legal basis, we rely on:
- Steps taken at your request prior to entering a contract — preparing a quotation you have asked for
- Consent — which you give by choosing to submit a form; you may withdraw it at any time
- Legitimate interests — securing our website against abuse, and running our business
- Legal obligation — where record-keeping or regulatory rules apply
6. Who We Share It With
We share your information only where it is necessary to provide what you have asked for, or where the technology serving this site requires it:

7. International Transfers
We operate from the United Arab Emirates, and the providers above operate globally. Your information may therefore be processed on servers outside your country of residence, including outside the UAE and the European Economic Area. Where we transfer personal data internationally, we take reasonable steps to ensure it remains protected to a standard consistent with this policy and applicable law.
8. How Long We Keep It
We keep enquiry and quotation correspondence for 24 months, after which it is deleted or anonymised, unless we are required to retain it longer to meet legal, regulatory or insurance record-keeping obligations, or to handle a live claim or dispute.
Rate-limiting counters are pseudonymised and expire within ten minutes. Server error logs are retained only as long as needed for diagnostics and security.
9. How We Protect It
- All traffic to this site is encrypted using HTTPS/TLS, and insecure requests are automatically redirected
- Form submissions are validated and sanitised on our server before being processed
- Rate limiting and anti-automation measures guard against bulk abuse
- Mail credentials and configuration are stored outside the public web root and are not accessible over the internet
- Security headers are applied to protect against common web attacks
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not send us sensitive information such as passwords, full bank details or identification documents through the website forms.
10. Your Rights
Subject to applicable law, you have the right to:
- Access the personal information we hold about you
- Correct information that is inaccurate or incomplete
- Request deletion of your information where we have no overriding reason to keep it
- Object to or restrict how we process it
- Request portability — a copy in a commonly used, machine-readable format
- Withdraw consent at any time, without affecting processing already carried out
- Complain to your local data protection authority
To exercise any of these rights, please contact us using the form on our website. We will respond within the timeframe required by applicable law. We may need to verify your identity before acting on a request.

This website and our services are directed at businesses and adults. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
